Privacy Policy
Last updated: April 27, 2026
This Privacy Policy explains how ginkip.com collects, uses, discloses, stores, and protects personal data and business information when businesses, users, transporters, receivers, and visitors use our website and platform.
1. Information We Collect
We may collect company information, account details, contact names, company email addresses, phone numbers, billing details, addresses, shipment details, receiver information, uploaded documents, proof of delivery records, payment proofs, audit logs, IP addresses, device/browser information, and communication records.
2. Information About Shipments and Receivers
When a business submits a delivery request, it may provide receiver names, phone numbers, email addresses, pickup and delivery addresses, goods descriptions, documents, photos, signatures, and delivery proof. The submitting business is responsible for ensuring it has authority to provide this information.
3. Transporter and Fulfilment Data
For fulfilment resources, we may collect profile information, contact details, KYC documents, route availability, assignment records, proof uploads, expenses, payout details, and operational records. This information is used internally to assess, assign, manage, pay, and audit fulfilment activity.
4. How We Use Information
We use information to register and verify accounts, review business access, assess delivery requests, issue quotations, manage payment, coordinate delivery, maintain milestones, provide proof of delivery, process expenses and payouts, provide support, improve security, detect misuse, comply with legal obligations, and maintain audit records.
5. Legal and Business Purposes
We process information where needed to perform requested services, manage customer relationships, comply with legal or regulatory obligations, protect our rights, prevent fraud, ensure platform security, or pursue legitimate business interests connected with managed urgent delivery services.
6. Sharing of Information
We may share information with employees, authorised administrators, payment processors, hosting providers, email providers, professional advisers, insurers, auditors, regulators, law enforcement, customs or border authorities, and operational service providers where necessary for the service or required by law.
Business partners do not receive confidential fulfilment resource identity, travel, payout, internal note, or internal cost information through the customer portal.
7. International Transfers
Urgent overseas delivery may require information to be processed or accessed across borders. By submitting a request, the business acknowledges that shipment and contact information may be used internationally where needed to review, coordinate, or complete the service.
8. Cookies, Sessions, and Security Logs
We use session cookies and security logs to keep users signed in, protect accounts, enforce access controls, support OTP login where enabled, detect failed login attempts, and maintain audit trails. Browser settings may affect some platform features.
9. Data Retention
We retain information for as long as needed for operational, legal, accounting, tax, compliance, dispute, insurance, security, and audit purposes. Some records, such as order histories, payment logs, proof records, and audit logs, may be retained after an account is closed where necessary.
10. Security Measures
We use technical and organisational measures such as role-based access controls, password hashing, OTP support, CSRF protection, prepared database queries, audit logging, controlled file access, and security headers. No system can be guaranteed completely secure, but we work to reduce risk and protect sensitive records.
11. Your Responsibilities
Users must keep login credentials confidential, use company-approved contact details, upload only lawful and relevant documents, avoid sharing unnecessary personal data, and notify ginkip.com promptly of suspected unauthorised access or inaccurate records.
12. Access, Correction, and Requests
Subject to applicable law and verification, individuals or businesses may request access to, correction of, or deletion of personal data. Some information may be retained where required for legal, compliance, accounting, security, dispute, or operational reasons.

We may update this Privacy Policy from time to time. The updated version will be posted on ginkip.com with a revised date.
